How Far in Advance Should You Book Your Wedding Venue?

Most couples book their wedding venue 12 to 18 months ahead. If your heart is set on a Saturday in peak season, aim for the longer end of that. If you are open to a Friday, a Sunday or a winter date, six months is often enough.

That is the short answer. The longer one depends on your date, your guest numbers, your budget and how flexible you are willing to be.

Here is one way to judge it. At Usambara we are already taking bookings for 2027 and 2028, and our rates for all three seasons are published on our website. Couples really are planning that far ahead, which is why the popular dates go first.

There is another reason we suggest starting early, and it has nothing to do with panic. Choosing your venue is not simply about finding somewhere that looks beautiful in photographs. You want somewhere that works for your guest numbers, your budget, your style and the kind of day you have pictured. That takes a little time to get right.

So when should you start looking?

12 to 18 months before your wedding

If you have your heart set on a particular venue, a Saturday date or a popular time of year, this is a very comfortable place to start. It gives you more choice and, just as importantly, more time to compare venues without feeling rushed. If one specific date matters to you, check availability as soon as you can.

9 to 12 months before

You are still in a good position here, particularly if you are open to a few different dates. Some of the popular Saturdays may already have gone, but there is usually still plenty to choose from. Once your venue is secured, this is also the point to start booking your other key suppliers.

6 months before

Do not panic if this is where you are starting. Six months is still enough time to plan a beautiful wedding, especially if you are flexible about the date or are open to a Friday, a Sunday or a weekday.

At Usambara, flexibility pays twice. A midweek date is usually easier to secure, and our minimum guest number is lower too: 60 adults from Monday to Thursday, against 80 on a Friday or a Sunday and 90 on a Saturday. If your guest list is on the smaller side, a weekday is often the difference between the day working and not working.

What if you have less than six months?

It is still worth asking. Couples decide to marry sooner all the time, and dates do open up when plans change. Do not assume a wedding in a few months is impossible. Give us a call, tell us what you are looking for, and we will tell you honestly what is available. You may need to be a little more flexible, but that does not mean the day cannot be everything you hoped for.

Your wedding date makes a bigger difference than you think

Not every date is in equal demand. A Saturday in a popular wedding month will always be more sought after than a weekday or an off-peak date. If you are open to a Friday or a Sunday, more doors stay open.

Winter is worth a serious look. It is off-peak for wedding venues, which is exactly why our winter promotion runs from May to August, and there is a lot to love about it: crisp mornings, beautiful light and a completely different feel to a peak-season wedding. Before you decide you absolutely must marry on one particular day, ask what your options are. You may be surprised.

Do not book a venue just because the date is available

This is the one thing we would never recommend. It is tempting to see a date you want and grab it straight away, especially when you are worried someone else will take it. Take a moment first and make sure the venue is genuinely right for you.

When you visit, ask yourself:

  • Do you love the setting?
  • Does the venue suit your number of guests?
  • Does the package suit your budget?
  • What is included?
  • What extra costs should you know about?
  • What happens if the weather does not co-operate?
  • Do you feel comfortable with the team?
  • Can you picture yourself getting married here?

Your venue is one of the biggest decisions of the whole wedding. It is worth the time.

What happens once you have chosen?

It helps to know this before you fall in love with a date. At Usambara a non-refundable deposit of R10 000 secures your function date. The balance is then paid in three instalments: 180 days before the wedding, 90 days before, and the final amount 10 days before the day.

That schedule is part of working out whether a date is realistic for you. A wedding 18 months away gives you far longer to spread the cost than one six months out.

Why we recommend viewing before booking

Photographs tell you what a venue looks like. They cannot tell you how it feels. When you visit Usambara you can walk the grounds, see the chapels and the reception venues, work out where your guests will be, and start picturing your own day in the space.

Ask plenty of questions while you are here. In fact, ask all of them. A good venue team should be glad to explain exactly how the day runs and exactly what you are booking.

What if you have not chosen a date yet?

That is completely fine, and it is more common than you would think. Settle four things first and the venue search becomes much simpler:

  • Your rough guest numbers. Whether you are inviting 60, 100 or 200 guests narrows the shortlist immediately, and it decides which days of the week are open to you.
  • Your preferred season. A warm summer wedding, an autumn celebration and a winter one are three very different days.
  • Your preferred day. Is a Saturday essential, or would a Friday or a Sunday work?
  • Your budget. Knowing what you are comfortable spending saves hours comparing venues that were never going to fit.

So how early is too early?

There is no such thing, if you have already found the venue you love and the date you want is open. The real advantage of booking early is not being able to say the venue is booked. It is the peace of mind of having the single biggest decision behind you. Once your venue and your date are secured, everything else has a shape to fit into.
